Why we may process your personal data

We run the Fluorinated gas (F gas) and Ozone-depleting substances (ODS) licensing, quota and reporting services.

Our purpose for processing your personal data is register your organisation to use the F gas and ODS service or process any other submissions that may be required by the relevant legislation.

We are allowed to process your personal data because we have official authority as the administrator of the F gas and ODS systems for Great Britain. The lawful basis for processing your personal data is to perform a task in the public interest that is set out in law.

What personal data we process and how we use it

We collect personal data from you using the online service. We use your personal data to:

  • register your details with the service
  • contact you about your applications or submissions
  • provide you with information about the F gas and ODS regulations
  • contact you about our service and ask for your feedback

We also obtain your personal data from Google Analytics cookies when you use the online service. The categories of personal data obtained are:

  • IP address
  • time spent on page
  • which pages you visited

We use your IP address to manage traffic on our website, we do not use it to identify you or track your activity individually.

We do not share your personal data with any other party without your consent unless we are required or permitted to do so by law.

Other parties we may share your personal data with include:

  • Scottish Environmental Protection Agency
  • Natural Resources Wales
  • HMRC and Border Force where necessary to support their work at the borders

We do not use your personal information to make an automated decision or for automated profiling.

Where your personal information is stored and processed

We store and process your personal data on Microsoft Azure servers in Ireland.

We will not transfer your personal data outside the European Economic Area.

How long we keep your personal data

We will keep your personal data for 7 years after you cease to be registered.

Changes to this notice

We may change this privacy notice. Any changes to this privacy notice will apply to you and your data immediately.

If these changes affect how your personal data is processed, we will take reasonable steps to let you know.
